Privacy Policy

Authentic Hauling & Services LLC ("we", "us") is an owner-operated equipment rental company in Arizona. This policy describes exactly what this website collects, why, and who it goes to. We do not sell personal information, and we never have.
1. What we collect
When you reserve equipment or contact us, we collect:
- Contact and identity information — your name, phone number, and email address if you give one.
- Driver license number — required for the rental agreement and to verify who is responsible for the equipment.
- Delivery address — the job-site address, or the ZIP code you enter to get a delivery estimate.
- Reservation details — machine, dates, attachments, project notes, your damage waiver election, and, if you decline the waiver, your insurance carrier name and policy number.
- Payment card details — entered at checkout and sent directly to our payment processor (Stripe). We store only the card brand, the last four digits, and the processor's reference tokens. Full card numbers and security codes are never stored on our servers.
- Text message consent — whether you opted in, and the date, time and IP address at the moment you opted in. This record exists because federal text-messaging law requires us to prove consent.
- Electronic signature records — your typed signature, the exact agreement text you signed, the date and time, your IP address and browser user-agent string. This is what makes the e-signature legally reliable.
- Condition photos — photos of the machine taken by us at delivery and at return, and the notes attached to them. These may incidentally show your job site.
- Operational records — hour-meter readings, fuel levels, towing vehicle plate if you pick up yourself, and any damage claim details.
We do not run advertising trackers, ad pixels, or third-party analytics profiling on this site.
2. Why we collect it
We use this information only to run the rental:
- To quote your rental and calculate delivery distance and fees.
- To review, approve or decline your reservation and hold your dates.
- To contact you about your rental by phone call, text (with consent) or email.
- To deliver, pick up and schedule around your job site.
- To charge the deposit and remaining balance, and to bill damages, fuel or extra hours.
- To prepare, deliver and store your signed rental agreement.
- To document equipment condition, prevent disputes, enforce the rental agreement, and recover the equipment if it is not returned.
- To meet our legal, tax and recordkeeping obligations.
3. Who we share it with
We share only what a specific service needs to do its job:
- Payment processor (Stripe) — receives your card details, name, phone and email to save the card and process charges.
- Hosting and database provider — stores the reservation records and condition photos that run this site.
- Google Calendar — confirmed bookings sync to the owner's business calendar, which includes the machine, dates, customer name and delivery address.
- Text messaging — if you consent to texts, your phone number and the message content are handled by the messaging carrier and service used to send them.
- Public diesel price data — we fetch published fuel prices to compute delivery cost. No customer data is sent out for this.
- Legal and collections — law enforcement, insurers, or a collections or legal representative, where required by law or necessary to enforce the rental agreement or recover equipment.
We never sell, rent or trade your information, and we never share it with anyone for their own marketing.
4. How long we keep it
Reservation records, signed rental agreements, invoices and condition photos are kept for at least four years after the rental ends, because they are our business, tax and legal records and may be needed for a claim or dispute. Text-message consent records are kept for at least four years after you opt out, as proof of consent. Contact form messages that never become a rental are deleted within about 12 months. We never store full card numbers at all.
5. Requesting your data or its deletion
Call or text 623-703-9265 and ask, or use the contact form. You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. We respond within 30 days.
One limit, stated plainly: we cannot delete records we are legally required to keep — a signed rental agreement, an invoice, a damage claim, or a consent record inside its retention period. Anything beyond that, we will delete on request.
To stop text messages, reply STOP to any message. To stop calls or emails, just tell us.
6. Cookies
This site uses only what it needs to function: a login session for the owner's admin area, and local browser storage that keeps your place in the reservation flow. There are no advertising cookies and no cross-site tracking. Blocking cookies in your browser may break the reservation flow but will not stop you from calling or texting us to book.
7. Children's privacy
This site is not directed to children. We do not knowingly collect information from anyone under 18. You must be at least 18 to rent and operate equipment, and at least 21 to tow or haul it yourself. If you believe a minor has given us information, call or text us and we will delete it.
8. Security
Access to reservation data is restricted to the owner's authenticated admin account. Card data is handled by our PCI-compliant payment processor and never stored on our servers. No system is perfectly secure, but we keep the amount of sensitive data we hold deliberately small.
